Fees & Cancellation Policy

We understand that therapy and supervision are significant personal and financial investments. We are committed to making therapy as accessible as possible, and to providing clear, transparent information about our fees, business hours, and cancellation policies.


This page outlines our current practice hours, fee structure and what to expect if you need to cancel or reschedule your appointment.

Current Practice Hours

 In-Person (Deakin)

Thursdays — 8:00 am to 5:30 pm


Telehealth 

Mondays — 5:00 pm to 8:00 pm

Tuesdays — 7:00 am to 3:00 pm

Wednesdays and Fridays — 10:30 am to 3:15 pm


Daytime sessions are those occurring between 9:00 am – 4:30 pm.

Fees Structure

Standard 50-minute Sessions


  • Deakin Office (Thursdays): $310
    • Out-of-pocket with referral: $164.75


  • Telehealth (other weekdays): $280
    • Out-of-pocket with referral: $134.75


Extended Sessions (75–90 minutes)
Available on request — fees are calculated pro-rata based on the 50-minute session rate.


Surcharge
Sessions held outside the daytime period (9:00 am – 4:30 pm) attract a 10% surcharge.


The current Medicare rebate amount is $145.25 per session.

Accessibility and Fee Support

We are committed to supporting continuity of care and access to therapy:

  • Victim Services ACT (Victims of Crime): Sessions are fully funded, with no out-of-pocket fee.
  • Concession Rate (15% off of the session fee): A small number of concession-rate time slots are set aside each week for clients holding a valid concession card. Please ask if this might apply to you.
  • Extraordinary Temporary Hardship: If you are experiencing short-term financial difficulty that makes attending therapy challenging, please reach out. We will do our best to support you, and trust that you will return to the full fee once your situation improves.


Please note: discounted fees are not available once you have reached the Medicare Safety Net.


Clients whose sessions are funded by third parties (unless otherwise arranged in advance) are billed in accordance with the Australian Association of Psychologists Inc. (AAPi) Recommended Fee Guide 2025–2026, which is $330 per 50-minute session.

Supervision & Consultation

  • Individual supervision (60 minutes): AUD $200 (plus 10% GST)
  • Group supervision: By quotation, depending on group size and duration

Business Days & Hours

For the purposes of our cancellation and rescheduling policy:

  • Business days are Monday to Friday, excluding weekends and ACT public holidays.
  • Business hours are 9:00 am to 5:00 pm (AEDT).


Example:
If you have a 10 am appointment on a Monday, notice of cancellation must be received by 10 am the previous Thursday to avoid a fee.

Cancellation, Rescheduling & No-Show Policy

Your appointment time is reserved exclusively for you. If you need to cancel or reschedule, please provide as much notice as possible so that we can offer the time to others who may be waiting.


  • Within 24 business hours: Full session fee will be charged.
  • Within 48 business hours: 50% of the session fee will be charged.
  • No-show (non-attendance without notice, or arriving more than 20 minutes late): 100% of the session fee will be charged.


Important Notes:

  • Medicare does not provide rebates for missed or cancelled sessions.
  • All outstanding fees must be paid before further appointments can be confirmed.
  • If you have a valid emergency (e.g., medical or family crisis) and can provide documentation, we will do our best to accommodate your situation. However, some fees may still apply due to costs associated with holding your reserved time.

Payment Terms

Payment details (including Direct Bank Transfer and PayID) are provided in your confirmation and reminder emails. Clients are encouraged to pay in advance to ensure a smooth and uninterrupted session.


Any outstanding fee will be processed on Halaxy by 5 pm on the day of service (including the Halaxy processing fee of 1.9% + $1.00).


If a valid payment method is not available, an invoice will be sent via email, and future appointments will be cancelled if outstanding fees are not cleared within 3 business days.


Medicare rebates are processed after the attendance of each session.

How to cancel?

You can email us directly at support@hscps.au or use the ‘Appointment Link’ included in your confirmation email to cancel or reschedule — all requests are recorded with a time stamp.


If you are unable to attend in person, you may choose to switch to an online or phone session to avoid a cancellation fee, provided you notify us of the change in format:

  • Telehealth: Please use the Telehealth link in your confirmation email.
  • Phone consultation: Please wait for our call from a hidden number at the scheduled appointment time.

You don't need a referral to see Yvonne (self-referred). However, you may choose to have your GP involved in your care while you work with Yvonne. If you wish to do so, you may book a long consultation with your GP to discuss your eligibility for a Mental Health Treatment Plan (MHTP). If your GP deems you as eligible for one, you will receive a Medicare rebate for up to ten sessions in a calendar year. 


If you have a referral from a Psychiatrist or a Paediatrician under the Better Access Initiative, you are entitled to the same Medicare rebate for up to ten sessions in a calendar year.


Currently, the Medicare rebate for a consultation of at least 50 minutes with a clinical psychologist is $145.25. You will only receive the rebate from Medicare if the session has been attended and paid for. Please send or bring along your referral letter (and the MTHP if you have one) at or before your initial session with Yvonne.


When you use your referral to see Yvonne, your doctor is involved in your care. This means Yvonne will provide a report required by Medicare to communicate with your doctor about your treatment progress after your 6th and the 10th sessions. This report is usually completed in session with you, so you know what is written in the report.

If you have "Extras" in your private health insurance, you may be covered part of the session fee. As different insurance packages may provide different coverage, we recommend that you check with your insurer about the amount you will receive for each psychotherapy session to be sure. If you claim through your private health insurance, you will be provided a receipt after the session to submit a claim to your insurer.


As a general rule, you can only claim rebate from only ONE third-party for each therapy session (e.g., either private health insurer OR Medicare), not both.


We offer support to the following clients:

  • self-referred clients
  • clients referred by a GP /  a psychiatrist through the Better Access initiative
  • clients with a self-managed NDIS plan
  • victims of crime through Victim Support ACT (VSACT)

Fee Structure Update

We’ll be introducing a new fee structure (effective 1 Nov 2025) while maintaining our commitment to accessible therapy for all.


A two-month grace period (until 31 December 2025) applies only to the new session fees for active clients - those who has attended at least one session between 1 September and 31 October 2025, or who has completed the booking process on or before 31 October for an upcoming appointment.


Concession rates and surcharges will take effect immediately for all clients.
